Bulk Product Terms

Effective Date: January 15th, 2024

These terms govern the production, delivery, inspection, storage, and use of bulk personal care products. By purchasing or accepting delivery of bulk goods, the receiving party agrees to the following conditions:

1. Nature of Bulk Goods

  • Bulk products are hot-poured and sealed by machine pressure at closure.

  • No external plastic seals are applied to bulk vessels.

  • Caps may loosen during transit due to temperature or pressure variations.

2. Shelf Life

  • Bulk goods are intended for short-term use only (3–6 months from delivery).

  • Retail-packaged products are formulated for a longer shelf life. Most retail products are good for up to TWO YEARS unopened.

3. Inspection & Rejection Window

  • All shipments must be inspected immediately upon receipt.

  • Any product not in acceptable condition must be reported and rejected within 7 calendar days of delivery.

  • Claims must be submitted in writing using our form (more on this below)

  • Claims submitted after 7 days will not be honored.

  • Failure to provide timely written notice with photographic evidence constitutes acceptance of goods “as is.”

4. Storage & Handling Requirements

  • Proper storage is the responsibility of the receiving party.

  • Bulk products must be stored in a cool, dry environment maintained between 60–75°F (15–24°C).

  • Containers must remain sealed until use. Once opened, vessels must be resealed promptly and used within the recommended timeframe.

  • Bulk goods are not designed for long-term storage.

  • The producer assumes no responsibility for changes resulting from storage outside these parameters.

5. Storage Disclosure Requirement for Claims

  • In the event of a claim, the receiving party must provide a written description of how and where products were stored, including:

    • Temperature conditions.

    • Whether containers were opened, resealed, or altered.

    • Whether products were scooped, decanted, or otherwise exposed.

  • Failure to provide adequate storage documentation may result in denial of a claim.

6. Known Product Changes Over Time

  • Lotions: May thicken if water evaporates due to loose caps or heat exposure.

  • Shampoos and Washes: May thin if diluted/contaminated, or thicken/gel if water evaporates.

  • Both outcomes occurring within the same batch generally indicate inconsistent storage or handling at the receiving site.

  • Discoloration (e.g., peach or brown tones) typically indicates contamination post-production and such products must be discarded.

  • Products showing changes months after delivery cannot be attributed to production with certainty.

7. Claims & Replacements

  • Claims require:

    • A written declaration identifying affected lots/vessels.

    Photographic evidence clearly showing defect (off-color, watery texture, or separation).

    • Samples if requested for lab analysis.

  • Verified formula-related issues may be replaced at the producer’s discretion.

  • Courtesy replacements, if offered, do not modify or waive this policy.

8. Best Practices

  • Maintain bulk inventory at levels aligned with usage (50–100 units recommended).

  • Adhere strictly to storage and usage guidelines, including the temperature range of 60–75°F.

  • Optional: Seals or lot codes may be added for traceability (+$1.50 per vessel).

9. Liability

  • Per ISO 22716:2007- Cosmetics GMP (FDA and EU), once accepted beyond the 7-day rejection window, the producer bears no liability for the condition of bulk goods.

  • Responsibility for storage, handling, and usage rests entirely with the receiving party.

10. Enforcement:

  • These terms are binding for all bulk orders. No exceptions will be made outside of the conditions listed above.
